2018 Booking Conditions
Bedroom rates vary depending on the day of the week and the hotel’s occupancy levels. All rates are inclusive of VAT at the current rate. Rates are per room, per night, based on two adults sharing a room. Children sharing a room with their parents are included on a bed & breakfast basis only on all packages and rates, all meals will be charged as taken.
Single Adult Occupancy
A discount on our double occupancy rates of £15 applies for single occupancy on a bed and breakfast basis, and £50 on a dinner, bed and breakfast basis. All bedrooms have double beds (twin bed set up available on request in most categories).
Additional Adult Rate
Our large Family Suite can accommodate up to two additional adults in the second bedroom. Additional adults in this room will be at a rate of £65 to include bed and breakfast and £95 to include dinner, bed and breakfast. Not any of our other room types can accommodation additional adults. Children of 12 years of age are considered an adult and will require their own bedroom.
Children from baby up to the age of 12 are charged at £20 per night per child when staying in a room with their parents – subject to the availability of the room to take extra beds. Rates are inclusive of breakfast and use of the swimming pool facility on all rates and special breaks, all other meals will be charged as taken. Bedding is provided for children in the form of cots, z-beds and sofa beds within this rate. Z-beds are suitable for children up to 10 years of age, sofa beds are required for children aged 11 years.
Children of 12 years and above require their own bedroom and will be subject to the full charge of the available room rate. The minimum age for children sleeping in their own room is 10 years, which applies to all occupants of this bedroom.
Should you wish to bring your dog with you, there will be a supplement of £20 per night. Please note that not all of our bedrooms are suitable for dogs and therefore this option is strictly subject to availability of a dog-friendly Coach House room and this must be arranged in advance.
All reservations must be confirmed and guaranteed with a 30% deposit which will be charged to your credit or debit card at the time of the booking and then deducted from your final balance on departure. A minimum two-night stay may apply to Saturday nights in peak times. Some special offers may require a full pre-payment.
Please note that deposits and payments processed on your card may display with the name of 'Gemini Properties' on your bank statement, this is the registered holding company of The Elms Hotel.
Individual reservations will be charged the remaining 70% balance of the quoted rate for the entire stay for any cancellations within 72 hours of arrival. Full pre-payment may apply on special events and some special offers. This would be non-refundable and non-transferable in any case of cancellation
Group bookings are defined as five or more rooms. For group bookings, we will charge 70% of the total of the rooms cancelled within 28 days of arrival. Any deposits relating to any group rooms cancelled will be non-refundable nor transferrable to another room in the group.
Cancellations made due to reasons beyond the control of the hotel, such as bad weather (i.e. snow) and illness are liable to full charges in line with the policy detailed above. This is applicable should the hotel remain operational and open to guests. In cases whereby a hotel closure is in place, your deposit may be transferrable to a future date’s stay within 3 months of the initial arrival date and no cancellation charges will apply. Transferrable deposits are only available in this instance and remain at the discretion of the hotel management.
We strongly urge you to take out appropriate holiday cancellation insurance, especially for longer and pre-paid stays to cover you in case of cancellation.
No refunds will be given for failing to take up any component included in the price of your packaged stay, including meals.
Outside of the cancellation period, the hotel will do its utmost to comply with any request for an amendment to a booking made after the booking has been confirmed.
This will not always be possible in terms of special packages and minimum length of stay requirements, where a change of dates will reflect the available rates and packages for the new dates.
Pre-paid special offers are non-refundable and non-transferable.
Changes to your board basis must be made a minimum of 5 days prior to arrival date and cannot be amended during your stay.
